This Privacy Policy explains how HeyCity, LLC (“HeyCity,” “we,” “us,” or “our”) collects, uses, discloses, stores, and protects personal information when you (“User,” “you,” or “your”) access or use the HeyCity website, mobile application, platform, content, civic summaries, notifications, podcasts, account features, or related services (collectively, the “Service”).
By accessing or using the Service, you acknowledge that your personal information will be handled as described in this Privacy Policy. If you do not agree with this Privacy Policy, you should not access or use the Service.
This Privacy Policy should be read together with HeyCity’s Terms of Use. By accessing or using HeyCity, you agree to be bound by this Privacy Policy. If you do not agree to this Privacy Policy, you may not access or use HeyCity.
1. Overview of HeyCity
HeyCity is an independent civic-information platform that helps users more easily follow local government activity. HeyCity obtains, ingests, organizes, summarizes, and displays information from publicly available government, municipal, civic, and third-party source materials. These materials may include agendas, minutes, public notices, recordings, staff reports, ordinances, resolutions, meeting materials, transcripts, attachments, and related public records.
HeyCity is not a government entity and is not affiliated with, endorsed by, sponsored by, authorized by, or operated by any city, public agency, government body, public official, vendor, or third-party platform.
This Privacy Policy governs HeyCity’s handling of personal information about users of the Service. It does not govern the privacy practices of any city, public agency, government website, app store, authentication provider, payment processor, analytics provider, mapping provider, meeting-management platform, video provider, or other third party.
HeyCity’s summaries are generated using third-party AI providers (currently including Google Gemini); HeyCity’s use of those providers is governed by their respective terms and privacy policies. HeyCity does not share your account information with its AI providers. Public civic materials are processed by AI providers to generate summaries, and search queries are processed to power search functionality, but neither is linked to your account or identity. When you use HeyCity and access it via your Apple or Google credentials, those providers may collect data they deem necessary to provide the login service, subject to your agreements with Apple or Google.
2. Personal Information We Collect
Depending on how you use the Service, HeyCity may collect the categories of personal information described below.
Account Information
If you create an account or sign in through Apple, Google, or another supported authentication provider, HeyCity may collect information such as your name, email address, account identifier, user identifier, authentication-related information, profile information made available by the authentication provider, account preferences, and related account information.
Contact and Communications Information
If you contact HeyCity, report an error, submit feedback, request support, respond to communications, or otherwise communicate with us, we may collect your name, email address, message content, attachments, correction reports, support requests, feedback, related communications, and any other information you choose to provide.
App Usage and Preference Information
HeyCity may collect information about how you use the Service, including saved items, followed cities, selected communities, selected topics, notification preferences, content viewed, summaries opened, links clicked, searches, in-app activity, feature usage, and other interactions with the Service.
Device, Technical, and Log Information
HeyCity may collect device, technical, and log information, including IP address, device type, operating system, browser type, app version, device identifiers, crash logs, diagnostic data, access times, pages or screens viewed, referring URLs, session information, and similar technical information.
Location or City Preference Information
HeyCity may allow you to select a city, community, region, or local area to personalize civic updates and summaries. Unless expressly stated otherwise, HeyCity does not need your precise GPS location to provide its core civic-summary features.
If HeyCity later collects precise geolocation information, HeyCity will provide appropriate notice and obtain any consent required by applicable law or platform rules.
Payment and Subscription Information
If HeyCity offers paid features, subscriptions, in-app purchases, or other paid services, payment may be processed by Apple, Google, Stripe, or another third-party payment provider. HeyCity may receive limited payment-related information, such as subscription status, purchase history, transaction identifiers, product purchased, renewal status, cancellation status, and billing-related metadata.
HeyCity generally does not receive or store full credit-card numbers when payment is handled by a third-party payment processor, app store, or billing provider.
Publicly Available Government and Civic Information
HeyCity collects and processes publicly available government, municipal, civic, and third-party source materials. These materials may include agendas, minutes, notices, recordings, staff reports, ordinances, resolutions, public comments, meeting transcripts, permit materials, zoning materials, parcel references, business names, names of public officials, names of speakers, names of applicants, addresses, and other information that appears in public records or public source materials.
HeyCity uses this information to provide the Service. HeyCity does not control the content of the underlying public records, public agency materials, government websites, or third-party source platforms.
3. Sources of Personal Information
HeyCity may collect personal information from the following sources:
- directly from you when you create an account, set preferences, contact us, report an error, submit feedback, or use the Service;
- automatically from your device, browser, app, or interactions with the Service;
- from authentication providers, such as Apple or Google, if you choose to sign in using those services;
- from payment processors, app stores, or billing providers, if you purchase paid features or subscriptions;
- from analytics, crash-reporting, hosting, security, communications, infrastructure, and other service providers that help us operate the Service; and
- from publicly available government, municipal, civic, and third-party source materials.
4. How We Use Personal Information
HeyCity may use personal information for the following purposes:
- to provide, operate, maintain, and improve the Service;
- to create, authenticate, manage, personalize, and secure user accounts;
- to provide saved items, followed cities, selected topics, user preferences, personalized content, and notification settings;
- to generate, organize, display, update, and improve civic summaries and related content;
- to process, review, and respond to error reports, correction requests, feedback, support requests, and user communications;
- to review, correct, regenerate, replace, remove, or improve summaries and related content;
- to send service-related communications, including account messages, security alerts, correction notices, support messages, and administrative updates;
- to send push notifications, email alerts, civic updates, or other communications where enabled or permitted;
- to analyze usage, performance, errors, bugs, crashes, and Service functionality;
- to improve content quality, source ingestion, summarization workflows, correction processes, search functionality, user experience, and product features;
- to prevent, detect, investigate, and address fraud, abuse, security incidents, unlawful activity, technical issues, and violations of HeyCity’s Terms of Use;
- to process payments, subscriptions, renewals, cancellations, refunds, chargebacks, and related transactions, if applicable;
- to comply with legal obligations, respond to lawful requests, enforce agreements, and protect the rights, privacy, safety, property, and security of HeyCity, users, public agencies, and others; and
- for other purposes disclosed to you at the time of collection or with your consent.
5. AI, Automation, and Civic Summaries
HeyCity uses automation, artificial intelligence, large language models, and related technologies to process publicly available civic source materials and generate summaries, explanations, key takeaways, alerts, notifications, podcasts, and other content.
User feedback, correction reports, support communications, app interactions, and usage information may be used to evaluate, improve, troubleshoot, test, and refine HeyCity’s systems, including source ingestion, summarization, quality-control, correction, classification, and personalization workflows.
HeyCity does not intend to use private account credentials, payment information, authentication tokens, or other sensitive account-security information to train public artificial-intelligence models.
Because HeyCity summarizes public records and civic materials, some content displayed in the Service may include personal information that appears in public government records or third-party public sources. HeyCity does not control the underlying public records or third-party source materials. Requests to correct, remove, restrict, or modify official government records should be directed to the applicable government agency, public body, or official source.
6. How We Share Personal Information
HeyCity may disclose personal information to the categories of recipients described below.
Service Providers
HeyCity may share personal information with vendors and service providers that help us operate, maintain, secure, analyze, and improve the Service. These may include hosting providers, cloud storage providers, infrastructure providers, analytics providers, crash-reporting tools, communications providers, email providers, customer-support tools, security providers, data-processing vendors, and other operational service providers.
Authentication and Platform Providers
If you sign in through Apple, Google, or another authentication provider, HeyCity may exchange limited information with that provider as necessary to authenticate your account and provide the Service. Your use of third-party authentication services may also be subject to that provider’s own terms and privacy policy.
Payment Processors and App Stores
If you purchase paid features, subscriptions, in-app purchases, or other paid services, payment-related information may be processed by Apple, Google, Stripe, or another payment processor, app store, or billing provider. Their processing of your information is governed by their own terms and privacy policies.
Public Agencies and Third-Party Sources
HeyCity may link to, reference, ingest, display, or summarize information from public agencies, government websites, meeting-management platforms, video providers, document repositories, and other third-party sources. If you leave HeyCity and interact with those third-party sources, your activity will be governed by that third party’s privacy practices, not this Privacy Policy.
Legal, Safety, and Compliance Purposes
HeyCity may disclose personal information if we believe disclosure is reasonably necessary to comply with law, legal process, government requests, court orders, subpoenas, or other lawful requests; to enforce HeyCity’s Terms of Use; to protect the rights, privacy, safety, property, or security of HeyCity, users, public agencies, or others; to prevent, detect, or investigate fraud, abuse, security incidents, unlawful activity, technical issues, or violations of our terms; or to establish, exercise, or defend legal claims.
Business Transfers
If HeyCity is involved in a merger, acquisition, financing, reorganization, bankruptcy, sale of assets, transfer of ownership, or similar transaction, personal information may be disclosed or transferred as part of that transaction, subject to applicable law.
7. Cookies, Analytics, and Similar Technologies
HeyCity may use cookies, pixels, SDKs, local storage, device identifiers, analytics tools, crash-reporting tools, diagnostic tools, and similar technologies to operate, secure, analyze, and improve the Service.
These technologies may help HeyCity remember preferences, maintain sessions, understand feature usage, diagnose technical issues, measure performance, improve content and functionality, detect abuse, prevent fraud, and maintain security.
You may be able to limit certain tracking technologies through your browser settings, device settings, operating-system controls, app permissions, or other available tools. Some features may not function properly if certain technologies are disabled.
8. Notifications and Communications
If you enable push notifications, email alerts, or similar communications, HeyCity may use your contact information, device token, city selections, saved items, followed topics, account settings, and preferences to send civic updates, meeting alerts, app notifications, account messages, correction notices, product updates, or other communications.
You may disable push notifications through your device settings or adjust available notification preferences within the Service. You may opt out of promotional emails, if any, by following the unsubscribe instructions in those emails.
HeyCity may still send service-related, transactional, legal, security, account, or administrative communications where necessary for account administration, security, legal compliance, or operation of the Service.
9. Data Retention
HeyCity retains personal information for as long as reasonably necessary to provide the Service, maintain accounts, operate and improve the platform, comply with legal obligations, resolve disputes, enforce agreements, prevent fraud or abuse, maintain security, preserve business records, and fulfill the purposes described in this Privacy Policy.
Retention periods may vary depending on the type of information, the purpose for which it is used, legal requirements, operational needs, backup practices, security considerations, and legitimate business needs.
If you delete your account, HeyCity will delete or de-identify personal information associated with your account, subject to lawful retention needs, including legal compliance, security, fraud prevention, backup retention, dispute resolution, enforcement of agreements, and preservation of legitimate business records.
10. Account Deletion and User Choices
If you create a HeyCity account, you may be able to delete your account through the profile screen, account settings, or another account-deletion method made available in the Service. You may also contact HeyCity at privacy@heycity.ai for account or privacy-related requests.
Deleting your account may remove saved items, preferences, account-based personalization, and other account-associated data. Some information may be retained where permitted or required by law, including for security, legal compliance, fraud prevention, backups, dispute resolution, enforcement of agreements, or legitimate business purposes.
11. California Privacy Rights
Depending on your relationship with HeyCity and whether HeyCity is subject to applicable California privacy laws, California residents may have certain rights regarding personal information. These rights may include the right to know what personal information is collected, used, disclosed, sold, or shared; the right to access personal information; the right to request deletion; the right to request correction; the right to opt out of certain sales or sharing of personal information; and the right to limit certain uses or disclosures of sensitive personal information.
HeyCity does not intend to sell personal information in the traditional sense. If HeyCity uses advertising, analytics, tracking technologies, or other services that constitute a “sale” or “sharing” under applicable California privacy law, HeyCity will provide appropriate disclosures and opt-out mechanisms as required by law.
To submit a California privacy request, contact HeyCity at privacy@heycity.ai. HeyCity may need to verify your identity before responding to certain requests. Authorized agents may submit requests where permitted by applicable law and subject to verification requirements.
HeyCity will not discriminate against you for exercising privacy rights available to you under applicable law.
Additional California Disclosures and Rights
Unless otherwise noted, the information in this Privacy Policy that describes how and why we collect and use your personal information also describes how we have collected and used your personal information in the preceding twelve (12) months.
Right to limit the use of sensitive personal information: We do not use or disclose sensitive personal information for purposes to which the right to limit use and disclosure applies under California law. For this reason, this right is not applicable.
California’s Shine the Light Law: California Civil Code § 1798.83 permits California residents who have an established business relationship with us to request certain information regarding our disclosure of personal information to third parties for those third parties’ direct marketing purposes. To make such a request, please contact us at privacy@heycity.ai, and include your name, business name, email address, mailing address, and the nature of your request.
12. Additional Notice for U.S. Residents
This Section 12 supplements the information contained elsewhere in this Privacy Policy and applies to residents of the United States whose personal information we collect through the Services. To the extent any provision of this Section 12 conflicts with any other provision of this Privacy Policy with respect to a U.S. resident, this Section 12 controls. The rights, disclosures, and obligations described in this Section 12 apply, as and to the extent required by applicable state consumer privacy law.
13. Children’s Privacy
HeyCity is not intended for children under 13. HeyCity does not knowingly collect personal information from children under 13.
If HeyCity learns that it has collected personal information from a child under 13 without appropriate consent, HeyCity will take reasonable steps to delete that information.

14. Data Security
HeyCity uses reasonable administrative, technical, and organizational safeguards designed to protect personal information. However, no method of transmission, storage, system, or service is completely secure. HeyCity cannot guarantee absolute security.
You are responsible for maintaining the confidentiality of your account credentials and for using appropriate device, account, password, and security practices.
15. Third-Party Websites and Services
The Service may link to, reference, display, integrate with, or rely on third-party websites, public agencies, government platforms, app stores, authentication providers, payment processors, analytics providers, mapping tools, video providers, meeting-management systems, document repositories, and other third-party services.
This Privacy Policy does not apply to third-party websites, platforms, services, public agencies, or government sources. HeyCity is not responsible for the privacy, security, accuracy, availability, content, policies, or practices of any third party. You should review the applicable third party’s privacy policy and terms before using those services.
16. International Users
HeyCity is operated from the United States and is primarily intended for users located in the United States. If you access the Service from outside the United States, you understand that your information may be processed in the United States or other jurisdictions where privacy laws may differ from those in your location.
17. Changes to This Privacy Policy
HeyCity may update this Privacy Policy from time to time. If HeyCity makes material changes, HeyCity may provide notice through the Service, by email, by updating the “Last Updated” date, or by other reasonable means.
Changes will become effective when posted unless a later effective date is stated. Your continued use of the Service after the updated Privacy Policy becomes effective means you acknowledge the updated Privacy Policy.
We may amend, modify, supplement, or otherwise update this Privacy Policy from time to time in our sole discretion to reflect changes in our business operations, the Services, applicable law, regulatory guidance, industry practice, or for any other reason. Any such changes will become effective upon posting of the revised Privacy Policy to heycity.ai or such other location at which this Privacy Policy is then made available, unless a later effective date is specified in the revised version.
When we make material changes to this Privacy Policy, we will provide notice to users in a manner reasonably designed to bring the changes to their attention, which may include, without limitation: (i) updating the “Effective Date” or “Last Updated” date appearing at the top of this Privacy Policy; (ii) posting a prominent notice on the home page or login page of heycity.ai, or the applicable HeyCity mobile application; (iii) sending an email notification to the email address associated with the user’s account; or (iv) providing in-product notification through the Services. The form and timing of notice will be determined by us in light of the nature of the change and applicable legal requirements.
Where required by applicable law, we will notify you of material changes to this Privacy Policy as a pop-up when you next access HeyCity. In all other cases, your continued access to or use of the Services following the effective date of the revised Privacy Policy constitutes your acknowledgment of the revised Privacy Policy and, to the extent permitted by law, your agreement to be bound by its terms. If you do not agree to the revised Privacy Policy, you must discontinue your access to and use of the Services.
We encourage you to review this Privacy Policy periodically to remain informed about how HeyCity collects, uses, discloses, and protects your personal information in connection with the Services. Prior versions of this Privacy Policy will be made available upon request through the contact channels identified in Section 18 (Contact Us).
